Death Registration
- General information
Brazilian citizens who died in Finland may have their death registered at the Brazilian Embassy in Helsinki, upon declaration by a Brazilian family member, who must attend the Post. In the absence of a duly qualified Brazilian citizen, the declarant may be a foreign citizen.
If it is necessary to register the death that occurred outside Finland, an apostille of the certificate must be provided in advance. Such apostille must be made by the foreign body that issued the certificate. Subsequently, the official translation into Portuguese or English must be made.
The declaration may also be made through an agent (usually funeral agents authorized by the family), when duly authorized by the declarant in writing, provided that the necessary elements for recording the death are included. The consular death certificate must be later transcribed, in Brazil, at the 1st Office of the Civil Registry of the place of domicile of the deceased or in the Federal District.
Important: The Consular Section of the Embassy of Brazil in Helsinki will not be able to cover expenses with burial, cremation, embalming or transport of mortal remains to Brazil, which must be borne by the family of the deceased.

For this service, it is strongly recommended to forward the necessary documentation to the Consular Section, by email (consular.helsinque@itamaraty.gov.br), in advance of the service.
Sending the documents in advance by email prevents your service from being denied on the scheduled day due to documentation problems. In addition, the preprocessing of your service by the Consular Section greatly speeds up your service.
Once the email is received, we will check that the documentation is complete/correct and indicate whether the appointment can now be made.
On the scheduled day, the Brazilian applicant presents the originals, checks the draft, signs the Registration Term and receives the certificate (do not forget to inform your e-mail and contact telephone number when forwarding the required documentation).
IMPORTANT: Files must be sent in image format ( PNG / JPG ) OR Adobe ( PDF ), as attachments to the email.
They may be divided into more than one message.
For security reasons, files in other formats, compressed files (RAR, ZIP, etc.) or those shared or saved in cloud services (One Drive, Google Cloud, etc.) are not accepted.
- Instructions and mandatory documents:
When requesting the consular death registration, the following original documents must be presented:

I. FROM THE DECLARANT (The person who is requesting the service) | |
1. Death Registration Form |
Completely filled out, with no errors. The document should be dated and signed during your appointment at the Embassy, in front of the Consular Authority.

2. Declarant's personal documents If Brazilian: |
a) Brazilian valid passaport or Brazilian identity card (RG); and |
b) Brazilian Tax Payer Number (CPF) card or identity document with the CPF number If the interested party has not yet requested their CPF, they should do so. |

If foreign citizen: | a) Valid passport. |
b) CPF card (if the foreigner has CPF); If the foreigner has a CPF, they must present the document. Note: Foreigners are not required to have a CPF. However, they can also have a CPF (recommended). |
II. FROM THE DECEASED | |
1. Extract from population (DVV); Original of the "Extract from the Population Information System in Finland - "Väestörekisteriote" - containing the register of death. The document must be in English and must contain the stamp and signature of Maistraatti. Electronic versions are not accepted. |

2. Certificate issued by Hospital / Nursing Home / Medical Institution / Prison, with medical report and cause of death "causa mortis" (with CID code). |
The document must contain the name of the institution, the cause of death (with ICD code), date and time of death, and the name of the doctor who certified the death. |
3. Cremation certificate OR burial certificate |
The document must contain the name of the crematorium or cemetery, date of cremation or date of burial. |
4. Deceased's Brazilian identification documents, with photo |
Brazilian Identity Card (Carteira de identidade - RG;) and/or Brazilian passaport (even if expired). |
5. Deceased Taxpayer Number - CPF Card |
Documents containing the CPF (RG, CNH, etc.) are also accepted. |
6. If you have any of the following documents, please present them: Birth Certificate; Marriage Certificate; Voter Registration Number; National Institute of Social Security - INSS registration, if an individual contributor; PIS/PASEP registration; Social security benefit number - NB, if the deceased person is entitled to any benefit paid by the INSS; Work Card. |
Necessary documents for the transfer of the body to Brazil
Death certificate issued by the consular sector of the Embassy;
- Death certificate issued by the competent local authority (in Finland: Department of Legal Medicine/ Terveyden ja hyvinvoinnin laitos/THL) proving that the death was not due to an infectious disease. The document must be apostilled by the competent body and a translation (albeit unofficial) into Portuguese must be attached.
- Embalming certificate issued by a doctor (generally from a licensed funeral home). The document must be apostilled by the competent body and a translation (albeit unofficial) into Portuguese must be attached.
- Bill of lading.
It is recommended to previously inform the head of customs and the transit officer of the Federal Revenue Service at the airport (in Brazil) about the arrival of the body.
The consular sector does not pay for burial, embalming, cremation or body transfer to Brazil.
Necessary documents for the transfer of ashes to Brazil
- Death certificate issued by the Embassy;
- Cremation certificate issued by the competent local authority. The document must be apostilled by the competent body and a translation into Portuguese must be attached;
- A waterproof, sealed urn must be used.
- Service value:
The registration of death and the first copy of the certificate are free.
For each additional duplicate, a fee of EUR 6 will be charged.
- Processing time:
On the scheduled day, after signing the term by the declarant, the death registration is carried out and the certificate is issued.
