Birth registration for children born outside Japan

What it is

Birth registration based on a certificate from another country. It can be done at the Consulate as long as at least one of the parents is Brazilian.

How to apply

With the necessary documents in hand, schedule the service through the e-Consular system. Check out the system tutorial here. Once the appointment has been made, you will need to go in person to the Consulate and present the original documents.

⚠️ The presence of the Brazilian parent is required.

Documents required

Birth Registration Application Form

Completed and signed by both parents

Birth registration certificate

Issued by the authorities of the place of birth, duly legalized by the Brazilian Consular Office responsible for the respective country or with the "Hague Apostille", if the country where the registration was issued is a party to the Hague Convention

Parents' documents, as appropriate

Brazilian parents

original and copy of passport valid or expired less than 2 years ago
if married, copy of marriage certificate
if single, copy of birth certificate
if divorced, copy of marriage certificate with divorce annotation

⚠️ Brazilian parents with dual nationality must also present a recent Koseki Tōhon and a Japanese passport, if available.

Foreign parents

original and copy of valid passport
if married, copy of marriage certificate
⚠️ The Brazilian marriage registration of the parents, if applicable, should preferably precede the birth registration of the children.
if unmarried, a copy of their birth certificate
if divorced, a copy of the marriage certificate with divorce annotation

⚠️ Certificates must be in English, Spanish or Romanized.

Japanese parents

original and copy of valid passport or driver's license or My Number card (個人番号カード)
Koseki Tōhon (戸籍謄本) issued less than three months ago

Registration of people over 12 years old

If the person to be registered is over the age of 12, they must be accompanied by a Brazilian parent and two witnesses. In addition to the documents listed above, the following must be presented:

Original and copy of the identity document with photo of the person to be registered (school ID card or foreign passport or My Number card)
Completed and signed Witness Data Form
Original and copy of the witnesses' identity document

💡 Witnesses can be Brazilian or foreign and relatives of any degree of the registrant.
